How do I invite a tech?

Add a field technician to your team. They get an email with a link to set up their password before they can use the app.

How do spending caps work?

Set one spending cap per client. Every work order they request stays under it, and TradelyHQ blocks any tech from charging over it.

How does QuickBooks sync work?

Connect your QuickBooks Online account once. Invoices push automatically when you send them, and we reconcile every night.

What happens when an invoice is overdue?

Overdue invoices are flagged automatically, your customer can be notified, and you see the totals on your dashboard.

What can my clients DO in the client portal?

Customers submit work orders, leave comments, watch status updates, and download invoice PDFs — all from one login.

What does the work-order lifecycle look like?

How a work order moves from Open to Active to Complete, plus On Hold and Cancel along the way.

What happens if a customer doesn't sign their completion report?

After 3 business days without a signature, the work order auto-closes with a waiver on file so you still get paid.

How do I send a completed work order to a client who isn't on the portal?

For clients you handle end-to-end without a portal login — one click downloads everything (PDF, invoice, photos) as a zip, then drag it into your email.

How does the tech mobile app work?

Your techs use TradelyHQ right from their phone browser — no App Store download, just add it to their home screen.

How do I give a client login access?

Invite the owner at your customer's company. They can then invite the rest of their team themselves.

How does password reset work?

Anyone can reset their password through an emailed link. New invitees are forced to set a fresh password on first sign-in.

What's my data export — what happens if I leave?

Export your work orders, invoices, and reports as CSV or PDF any time. If you leave, we'll hand you a full archive of everything.

Where is my data stored, and who can see it?

Your information lives on secure US servers. Each company is kept completely separate, so only you and your invited team can see your data.

How do I bulk-import existing data?

You can upload your site list yourself with a simple spreadsheet. For customers, techs, and historical work orders, our team imports them for you.
