Short answer: your data is yours, exportable at any time, and we don't hold it hostage if you decide TradelyHQ isn't a fit.
What you can export today
- Work orders — full CSV from the Work Orders tab → Export. Every WO with all metadata: client, location, category, priority, tech, completion notes, photos URLs, NTE amount, snapshot timestamps.
- Invoices — CSV from the Invoices tab → Export. Includes line items, taxes, payment status, QBO sync state, customer info.
- Clients — CSV from the Clients tab → Export. Client name, region, billing email, properties, NTE profiles per category.
- Techs — CSV from Techs Management → Export. Names, emails, regions, specialties, pay model.
- Reports — CSV downloads from the Reports tab for spend by location, repeat issues, NTE compliance, etc.
- Per-WO PDFs — every work order has a Jobber-style PDF with photos, signature, completion notes, GPS arrival data.
- Per-invoice PDFs — every invoice has a print-ready PDF.
What's NOT in the standard export
- Customer photos — completion + intake photos are stored in Supabase Storage. Available individually via direct URL inside each WO. Bulk export is on the BACKLOG (we'll do this for you on offboard if you ask).
- Audit log entries — the per-row audit trail (who changed what, when) is admin-only via the Audit Log page; CSV export from there is also available but it's tenant-specific.
If you decide to leave
- Self-serve any of the exports above
- Email us — we'll generate a complete tenant data dump (everything above + photo bundle + auth user list with the IDs you'd need to migrate to another auth provider). Delivered as a single zip file within 5 business days, no questions asked.
- Tenant data is retained for 30 days post-cancellation in case you change your mind, then permanently deleted on day 31. Photos in Storage are deleted at the same time.
- QuickBooks sync remains untouched — your QBO account is yours; deleting your TradelyHQ tenant doesn't delete QBO data.
What format are exports in
UTF-8 CSV with RFC 4180 quoting — opens cleanly in Excel, Numbers, Google Sheets, Postgres COPY, anything. PDFs are PDF/A. Photos are whatever the tech uploaded (typically JPEG / HEIC).
Data residency
Everything is stored in the AWS us-east-1 region (Supabase's default). No data leaves the US. See "Where is my data stored, and who can see it?" for the full residency + access answer.
