For facility maintenance contractors

Software for facility maintenance contractors.

Built for the multi-trade shops that handle HVAC, plumbing, electrical, general repairs, and janitorial work across dozens or hundreds of sites for retail chains, REITs, property managers, and other multi-site clients. Dispatch across trades, NTE caps per client, per-client compliance docs on file, completion proof attached to invoices, and QuickBooks that stays clean without a month-end ritual.

Why facility maintenance is harder than single-trade

Multi-trade dispatch is its own discipline.

  • Many trades, one queue. An HVAC ticket, a plumbing leak, an electrical fixture replacement, a door repair. Dispatch has to triage all of them without losing any to "I thought you were on it."
  • Spending caps per client. One client agrees to $1,500 a visit, another to $800. The cap needs to live in the data, not in someone's head, and ride along on every work order automatically.
  • Per-client compliance docs. Every property manager wants a current COI, W-9, and license on file. If they're scattered across email, you'll spend a week pulling them when renewals come around.
  • Multi-site clients. One property manager might have 40 sites you service. The system has to handle "all open work at this client" and "all open work at this site" as separate views.
  • Repeat PM contracts. Quarterly HVAC, monthly janitorial, annual backflow. The recurring schedule has to live somewhere reliable.
  • AP-paid invoicing rhythms. Net 30, Net 45, sometimes Net 60. The office needs to see what's outstanding without exporting to a spreadsheet.

What TradelyHQ does for facility maintenance shops

One queue, all trades, all sites.

Multi-trade dispatch in one queue

Filter by trade, by client, by site, by tech. See what's open across HVAC, plumbing, electrical, general, and janitorial without flipping between separate tools.

One spending cap per client

Set one cap per client and every work order they request inherits it, snapshotted onto the WO at creation. Need a higher (or lower) cap for a single job? Set a custom cap right on that work order. When work goes over, the tech taps "Quote Needed" and the office gets a one-click quote builder.

Site-code hierarchy

Each client has its sites. Each site has its equipment, lockbox codes, contacts, and history. Dispatch and techs see the right context for the location they're working.

Compliance document tracking

Keep every client's COI, W-9, MSA, license, bond, and other compliance docs in one place with expiration dates. A daily check sends a notification when anything's within 30 / 14 / 7 days of expiring, before the property manager flags it.

Recurring PM schedules

Set up the recurring schedule once: quarterly HVAC, monthly janitorial, annual backflow. The dispatch board shows what's due before the deadline passes.

QuickBooks Online sync

Connect QuickBooks once. Completed WOs become invoices, payments flow back, customer + item mirroring keeps the books clean. No more month-end reconciliation marathon.

Who you service

Built for the clients facility maintenance contractors actually have.

Property management companies running office, retail, and industrial portfolios. REITs with hundreds of sites. Big-box and grocery chains. Restaurant groups. Hospitality. Healthcare and senior-living operators. Multi-family and student housing. The kind of clients who set NTE caps, require COI on file, pay Net 30+ through an AP system, and audit every line item on every invoice.
