How do I send a finished job to a client who doesn't use the portal?

Some clients won't ever log into TradelyHQ — they just want the report when the job is done. Here's how to send it.

Before you start

Two things need to be done first:

  1. The work order has to be marked Complete.
  2. The invoice for the job has to be created (it can be in Pending Review — it doesn't have to be sent yet). Without an invoice, the "Bundle" option won't show up.

The steps

  1. Open the work order.
  2. At the top, next to the work order name, you'll see a small red PDF symbol with a little arrow (▾) next to it. Click the arrow. A short menu opens.
  3. Click the blue "Download Bundle" button at the top of the menu. A file saves to your computer — something like wo-104-bundle.zip. It has the report, the invoice, and all the photos in one.
  4. Open your email (Gmail, Outlook, whatever you use). Start a new message to the client.
  5. Drag the file you just downloaded into the email. Write a short note if you want, then hit Send. Done.

Don't see a "Download Bundle" button?

That means you haven't created the invoice for this job yet. Go to the Invoices tab, click the Invoice Needed filter, find this work order, fill in the line items, and save. Then come back to the work order, click the arrow (▾) again, and the Download Bundle button will be there.

Want to send less than the whole bundle?

These two options work even before you've created the invoice — handy for sharing photos with a client mid-job.

Want this client on the portal later?

Anytime. Open the Clients tab, click Invite New Client, type in their email. Every job you've already done for them stays attached — the second they sign in, they see the full history.
